Each workspace has its own Media Library (sidebar → Tools). Files belong to one workspace and never cross to another.
Browsing
- Top bar: New folder and Upload.
- Left: Folders, with a + for a new folder, then the tree headed All media (with a count) and collapsible sub-folders. Folders live only in the tree: each row has its own ⋯ (Open, Rename, Delete). On a wide screen, drag the column’s right edge to make it wider or narrower; the width is saved to your account. On a narrow screen the folders open in a drawer.
- Right: the open folder’s name (Media Library at the top) over its file count, then the files. In the grid, images show a real preview, other files their extension (PDF, MP4), and an image with no alt text says No alt text. The list shows name, type, size, dimensions, uploader and date, with a select-all for the page.
- Toolbar: type chips (All, Images, Video, Audio, Documents, Archives), search (name and tags), sort (newest, oldest, name, size), and a Grid / List switch. This browser keeps your choice of grid or list.
Total storage is on the Insights dashboard.
Uploading
- Upload in the top bar, then drag files in or pick them. Drops add up.
- Review the staged files — images show a thumbnail. Remove any you did not mean to add, and write alt text now if you like.
- Confirm. The dialog closes.
- An Uploads tray in the bottom-right corner shows each file, three at a time, with retry on failure and cancel while uploading. Its list folds away under a chevron, so it never covers the grid.
There is no “uploaded” toast — the tray is the status. One failed file never fails the others.
Alt text
Describe images for people who cannot see them:
- While uploading — per image in the dialog.
- Later — in the file’s details panel → Save alt text (needs permission to edit media). A missing one is marked Missing there.
- Per use — each image attached to a media field has its own alt box and a Decorative — no description needed checkbox. That overrides the library’s default for this record only — the same logo can be “Acme logo” in a header and decorative in a footer.
Nothing blocks you for skipping alt text, except: on a required media field, the entry cannot be published until every image has alt text or is marked decorative. Insights keeps count: Images missing alt text under Needs attention opens the images behind it, the oldest upload first.
Actions
| On | Available |
|---|---|
| One file | Download, copy link, duplicate, rename, move to…, delete |
| A selection | Move to…, download, duplicate, delete, clear selection |
| A folder | Open, rename, delete |
Ticking files raises a bar at the bottom of the work area — 2 selected of 7 — with the selection’s actions and ✕ to clear it.
Deleting a folder deletes what is in it. The confirmation says how many files and sub-folders that is.
The details panel
Click a file to open its details beside the grid: preview, Download, Copy link and more actions, alt text, details (type, size, dimensions or duration, format, folder, uploader, created and modified) and tags.
- The files stay on screen and clickable — click another to show it instead.
- Previous / Next, or ← / →, step through the files on screen; Esc closes the panel and puts focus back on the file you opened. The keys leave a text field alone.
- On a narrow screen the panel opens over the page.
Captions and subtitles for audio and video cannot be edited in the admin yet — a developer can add them through the API.
Attaching files to entries
- A media field sits in the entry form with the other fields, and opens the same library as a picker. Empty, it is one line: drop a file on it, or choose Select from library or Upload.
- The entry stores a reference to the file plus that use’s alt text — one file can be used by any number of records.
- Files uploaded from inside a media field are saved with the record. Abandon the form and nothing is left behind.
- A field may accept only certain kinds of file.
- Files from a shared workspace’s records stay in that workspace’s library.
Previews
Images get a small and a medium preview at upload, used by the grid — it never loads full-size originals just to draw tiles.
Size limits
Each upload has a maximum size — 50 MB unless your installation changed it. The dialog lists which kinds are accepted, but not the size limit, because it cannot read the real limit; a file over it fails when uploaded, and the tray says so. Ask your administrator if you need bigger files.
No image editing on the way out
Previews are made once, at fixed sizes. There is no cropping, focal point or on-the-fly resizing in the admin.
